The Role

Leinster Appointments is currently recruiting for a permanent, full time Office Manager role in Dublin 8.

Permanent, full time role.

Fully office based

Monday - Friday 9am - 5.30pm 

Salary up to €42,000 

Main duties: 

  • Manage general correspondence, emails, telephone calls, and receive visitors to the office.
  • Coordinate regular staff team meetings, including taking minutes.
  • Manage diary and calendar scheduling for committees and board meetings.
  • Support the CEO in drafting and collating reports, minutes, and other documentation.
  • Organize travel arrangements for the CEO as required.
  • Streamline office operations and procedures for efficiency.
  • Responsible for ordering stationery and office supplies.
  • Support the CEO with governance and regulatory matters, including compliance with relevant codes and standards.
  • Maintain necessary organizational records and documentation.
  • Oversee, report, and sign off on weekly cash counts in the absence of the manager.
  • Liaise with external contractors, securing quotations, scheduling work, and serving as the point of contact for contractors on-site.
  • Work closely with the office manager and CEO regarding operations and any issues or changes to terms.
  • Manage administrative tasks related to fundraising efforts.
  • Ensure all activities are within budgets approved by the board and in consultation with the CEO.
  • Manage administration and access to SharePoint folders for staff.

The Person

 

  • Minimum of 4 years’ experience in an office management role or similar capacity.
  • High attention to detail.
  • Excellent proficiency in Microsoft Office Suite and SharePoint.
  • Ability to work independently and collaboratively as part of a team.
  • A proactive attitude with a willingness to learn and adapt quickly.
  • Strong persistence to see projects through to completion.
  • Excellent written and verbal communication skills.
  • Solution-oriented mindset.
  • Ability to manage multiple projects and meet deadlines.
  • Strong budgetary awareness and commitment to cost control.
  • Ability to deliver high-quality work in a timely manner.
  • High level of integrity in handling confidential information.
  • Professional and approachable demeanor when interacting with all levels of staff, volunteers, and external stakeholders.
